Why Multi-Factor Authentication Matters

Most of us log into dozens of accounts every day. Email, work systems, banking, and online services are all part of normal daily routines. While strong passwords are important, passwords alone are no longer enough to protect those accounts. This week’s Tech Tip focuses on multi-factor authentication, often called MFA, and why enabling it is one of the simplest and most effective ways to improve security.

Multi-factor authentication adds an extra step during the login process. After entering your password, you are asked to confirm your identity in another way. This might be a temporary code, a prompt on your phone, or a biometric check like a fingerprint or face scan. The goal is simple. Even if someone gets your password, they still cannot access your account without that second factor.

There are several common types of MFA. Some systems send a code by text message or phone call. This option is easy to set up and is far better than using a password alone. Other systems use authentication apps that generate time-based codes on your device. These apps are generally more secure because they are not tied directly to your phone number. In some cases, devices also support biometric options, depending on the system and hardware being used.

While any form of MFA improves security, stronger options provide better protection. App-based authentication and device prompts reduce the risks associated with intercepted or delayed text messages. Choosing the strongest option available for each account helps lower the chance of unauthorized access.

Enabling MFA usually takes only a few minutes. Most applications include a security or account settings section where it can be turned on. That small investment of time adds a powerful layer of protection against one of the most common risks businesses face: compromised passwords.

MFA may feel like an extra step at first, but it quickly becomes routine. That brief pause during login can prevent serious security issues and help protect both personal and business information.
